Position Summary
The Administrative Assistant provides critical day‑to‑day support to the CEO and her team, ensuring smooth operations, proactive coordination, and seamless communication across the organization. This is a dynamic, fast‑paced role ideal for a tech‑savvy, highly organized individual with strong communication skills and a passion for our mission. The role is vital to organizational impact and success—serving as a key member of the team who will engage in all areas of our work, including program delivery, fundraising, and operational support. Candidates must be fully equipped with a dedicated home office and quiet workspace, along with a reliable computer, high‑speed internet, and phone. Play Like a Girl will provide basic office supplies such as paper, pens, and printer ink to support this setup.
This is a fully remote role with travel for select meetings, programs, and events. Due to occasional travel for meetings and events, candidates must reside within 20 miles of Nashville International Airport (BNA), have dependable personal transportation, and be able to travel within local commuting distance for Nashville‑area needs.
Travel Requirements: Up to 15%.
Key Responsibilities
Administrative Support
- Provide general administrative assistance to the CEO, staff, and contractors.
- Maintain and manage calendars, schedule meetings, and coordinate travel logistics.
- Draft, proofread, and format correspondence, reports, agendas, and presentations.
- Maintain digital filing systems and ensure accurate recordkeeping across platforms.
Inbox & Communication Management
- Manage email communications for the CEO and general organization inboxes.
- Prioritize and flag action items, respond to routine inquiries, and ensure follow‑through.
- Maintain a professional tone and brand‑aligned voice in all external and internal communications.
Event & Meeting Logistics
- Coordinate logistics for virtual and in‑person meetings, including scheduling, agendas, minutes, and follow‑up.
- Support planning and execution of organizational events, team retreats, board meetings, and special programs.
- Liaise with venues, vendors, speakers, and stakeholders to ensure all logistical details are handled.
Operations & Project Support
- Track project deadlines and deliverables using Asana and other productivity tools.
- Support onboarding processes for new staff, interns, and volunteers.
- Assist in light data entry, expense tracking, and administrative documentation.
Marketing & Digital Communication
- Support scheduling and publishing of content across blog, email, and social media platforms.
- Assist with content creation including graphics, articles, newsletters, and videos (e.g., Instagram Reels, TikToks).
- Use Loom to create internal explainer videos and training clips as needed.
Donor & Sponsorship Support
- Assist with sponsor and donor outreach, stewardship, and fulfillment tracking.
- Prepare thank‑you notes, email follow‑ups, and contribution summaries as needed.
Required Skills & Qualifications
- Associate’s degree in business administration, communications, nonprofit management, secondary education, or a related field.
- Minimum of 3 years of professional experience in administrative support, office management, or a similar role.
- Proficiency with Google Workspace, Microsoft Office, Slack, Asana, Zoom, Loom, and social media platforms.
- Exceptional organizational and time‑management skills with strong attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently in a hybrid environment and manage multiple responsibilities simultaneously.
- Demonstrated professionalism, discretion, and sound judgment in handling sensitive information.
Preferred Qualifications
- Experience in the nonprofit or education sectors.
- Knowledge of donor or sales management systems like Little Green Light and Dubsado in a nonprofit environment.
- Graphic design or video editing skills for basic social media and marketing content.
- Event planning, project management, or logistics coordination experience.
Pay & Benefits (after 90 days of employment)
- Salary Range: $42,000–$50,000 annually, commensurate with experience.

- Work Environment: Fully remote role with regular onsite responsibilities and occasional travel.
